JOB SUMMARY:
The Dental Patient Coordinator's primary responsibility is to facilitate the patient's office experience in being seamless and ensure the patient leaves well informed and prepared for their next appointment. This includes ensuring the patient understands their treatment plan, the benefits of treatment, insurance benefits, assisting with financial arrangements and coordination of appointments. In addition, this position is responsible for referrals, scheduling, maintaining patient information such as insurance benefits related to referral request, dental history, results of tests and examinations and patient symptoms using computers, and medical technology.
Requirements
ESSENTIAL FUNCTIONS: Review daily schedule. Confirm next day appointments while performing a Covid screen questionnaire with each patient scheduled. Discuss Covid related conditions with each patient, create chart notes and update health alerts accordingly based on these encounters. Provide medical guidance for patients (e.g., Diabetic, pre-medication reminders, etc.) Answer phones, schedule/reschedule/cancel appointments as requested by callers and assist with general questions. Conduct chart reviews for dental providers per the following protocols: - Contact patient provider to identify date of service/procedure.- Discuss x-rays needed, update chart with a note/flag, discuss protocol with patient and alert the dental provider of complete clearance when done.- Schedule patient's treatment if not already set up. Responsible for overall referrals process: - Discuss referrals with patients and assist them with scheduling.- Send all pertinent information to offices where patient has been scheduled.- Once referrals are received, enter each referral as a chart note and alert DDS of information received to assist with calling on their behalf or research practices that will accept coverage or have sliding fee programs.- Ensure referral information is received for upcoming appointments.- Work in collaboration with dental billing.- Create chart note regarding plan of care and schedule patient for future dental appointments. Assist with Spanish speaking patients, whether is by interpreting during appointments. Facilitate communication between medical departments and dental providers: - Access to Epic to review dental charts If patients has questions regarding care, medical messages are sent to providers/staff and update dental charts accordingly. Prescriptions: Identify patient's pharmacy information. Assist with the receptionist/scheduling duties based on the department/clinic needs. Perform other duties as assigned. Requirements KNOWLEDGE, SKILLS, AND ABILITIES: Experience with dental insurance and Medical Assistance preferred. Excellent phone and in-person interpersonal and communication skills. Strong customer service skills. Excellent time management skills with the ability to prioritize workflow and meet stringent deadlines. Ability to enter data accurately and quickly into computer. Knowledge of spelling and punctuation. Careful documentation and attention to detail. Ability to work independently or in a team. Skill in identifying problems, problem solving and resolution. Knowledge of dental procedures and dental terminology. Knowledge of dental office procedures and workflow. Demonstrate ability to prioritize work under pressure, and function with multiple priorities and interruptions. Demonstrate sound judgement and decision-making abilities. Ability to establish and maintain effective communication. Strong keyboard skills. Proficient in using computer systems with experience in dental OCHIN Wisdom preferred. Ability to perform the job in accordance with United Family Medicine's Standards of Business Conduct, which includes compliance, ethics and integrity, confidentiality, protection of assets and avoidance of conflicts of interest and inappropriate business relationships. Specifically, work processes that involve billing/collections practices for avoiding activities that constitute fraud and abuse. EDUCATION/EXPERIENCE: Two years post-secondary education or training is required. 1-2 years' experience working in a Medical or Dental Office, clinic or call center is required. At least 2 years' experience working in a dental clinic or call center in lieu of education will be evaluated. Bilingual/fluent in English and Spanish, Hmong, Somali, Amharic, or Tigrinya is preferred. Experience working with the EPIC system is strongly preferred. Previous computer/keyboard experience is required. Prior experience working in a Federally Qualified Health Center or community clinic is strongly preferred. CERTIFICATES, LICENSES, REGISTRATIONS:PHYSICAL DEMANDS: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
